Privacy Policy

This privacy policy explains what personal information we collect when you use the 8waterfront website (www.8waterfront.co.uk), how we use it, where we store it, and what rights you have over it.

Who we are

8waterfront is a private holiday home let by the Moore family at Haven Kent Coast Holiday Park, Allhallows-on-Sea, Rochester, Kent ME3 9QD. References to “we”, “us” or “our” mean the owner.

The person responsible for handling your personal data is Mike Moore. You can reach us by email at mike@8waterfront.co.uk.

What we collect, and when

We only collect personal information when you actively give it to us, or when you visit the website and your browser shares basic technical information automatically.

When you make a booking enquiry on this site, you give us:

  • Your name
  • Your email address
  • Your phone number
  • The number of adults and children in your party
  • The dates you're booking
  • Any notes you choose to add to the booking

When you visit any page on the website, your browser shares:

  • The pages you viewed and roughly when
  • The type of device, browser and operating system you used
  • Anonymised performance information (how fast each page loaded for you)

We do not use cookies or tracking pixels for advertising. We don't sell or share your information with marketers. See the Cookies Policyfor the detail on what cookies the site does and doesn't set.

Why we collect it, and what we do with it

Booking details are used solely to:

  • Set up and confirm your booking
  • Send you the booking reference and bank transfer details
  • Contact you if there's a question or change about your stay
  • Keep a record of bookings for our own accounts and HMRC requirements

Website usage data is used to:

  • See which pages are popular so we know what to improve
  • Spot any pages that load slowly or break

We do not use any of this information to build a marketing profile or to send marketing emails.

Where it's stored, and who can see it

We use three third-party services to run the website. Each one stores some of your data on our behalf. They are all GDPR-compliant data processors, and we have data processing agreements with each:

  • Supabase(database — EU region): stores your booking details and your contact information.
  • Resend(email sending — EU region): sends the booking confirmation email to you, and the booking notification email to us.
  • Vercel(website hosting — London region): serves the website and collects anonymised page-view and performance data.

The owner (Mike Moore) is the only person who can access booking records.

We also use an AI service (Anthropic) internally only, to help us read uploaded seasonal pricing sheets when we update our rates. No customer data is ever sent to Anthropic.

How long we keep it

  • Booking records (including your contact details):six years from the end of the relevant tax year, in line with HMRC's record-keeping rules for self-employed and rental income.
  • Anonymous website usage data: kept by Vercel for up to 12 months and then deleted.
  • Email logs: kept by Resend for 30 days and then deleted automatically.

After the retention period, your data is deleted.

Your rights

Under UK GDPR you have the right to:

  • Ask us what data we hold about you
  • Ask us to correct anything that's wrong
  • Ask us to delete your data (subject to HMRC retention rules where applicable)
  • Ask us to restrict how we use your data
  • Ask for your data in a portable form
  • Object to how we use your data
  • Complain to the Information Commissioner's Office (ico.org.uk) if you think we've handled your data badly

To exercise any of these rights, email us at mike@8waterfront.co.uk. We aim to respond within five working days and to resolve requests within one calendar month.

Children

The website isn't aimed at children, and we don't knowingly collect data from anyone under 16. If you're booking for a family, the lead guest must be at least 18.

Updates to this policy

If we change anything material, we'll update the “Last updated” date at the top and note the change in a short paragraph at the bottom.
